Rental Terms

  • Rentals are five days in length.
  • Begins on the scheduled day of arrival.
  • If the box arrives early, you will not be charged additional rental days.
  • Additional days requested will be automatically added to your shopping cart.
  • Late fees will be assessed unless an extended rental period has been requested and paid for.

The Australian Event in a Box is similar to the U.S. version but includes hardware compatible with Australia network providers. If your event is located in Australia, you must select this option. 

The Regular Event in a Box is ideal for events with a maximum of 250 attendees. This box supports only black, dynamic printing and includes the following:

  • 2 iPads w/ Tabletop stands
  • 1 Zebra GK420D Direct Thermal Printer
  • 1 TP Link MR200 Router including preset SIM card from network provider
    • Note: Hardline internet connection (Ethernet) is recommended for a more reliable connectivity 
  • Direct Thermal, Non-Adhesive Badge Stock. You have the choice between:
    • Single-Sided: 4" x 3" - 500 Badges
    • Double-Sided: 4" x 3" - 250 Badges (This badge is 4'' x 6'' with a perforation at every 3")
      • Badge Holders: ensure your badge holders are wider than 4" to accommodate your 4" badge.
      • An event in a box comes with complimentary blank badges. Custom badges come with an additional cost. 

The Large Event in a Box is ideal for events with a maximum of 500 attendees. This box supports only black, dynamic printing and includes the following: 

  • 4 iPads w/ Tabletop stands
  • 2 Zebra GK420D Direct Thermal Printers
  • 1 TP Link MR200 Router including preset SIM card from network provider
  • Direct Thermal, Non-Adhesive Badge Stock. Choice between:
    • Single-Sided: 4" x 3" - 1000 Badges
    • Double-Sided: 4" x 3" - 500 Badges (This badge is 4'' x 6'' with a perforation at every 3")
      • Badge Holders: ensure your badge holders are wider than 4" to accommodate for the 4" badge. 
      • An event in a box comes with complimentary blank badges. Custom badges come with an additional cost. 

** Note: more equipment is recommended if registration occurs in a short window of time.  

If you are ordering badge holders, please ensure holders are 4.25" wide so 4" wide badges can easily slide into the holder.

OnArrival Premium License

Please be aware that you must have an OnArrival Premium license in order to print badges within the OnArrival mobile application. Don't have an OnArrival Premium license yet? Contact your Account Manager for details.  

Shipping

Ground shipping is included in price within Australia. Additional shipping costs may apply to countries outside of Australia. Please see shipping calculator on the checkout page.

Each box contains a return shipping label. The customer is responsible for forfeiting the box back to the shipper with the return label on the last day of their rental period or additional late fees will be charged.

TERMS AND CONDITIONS

1. CONDITION OF THE RENTAL DEVICE
1.1 Immediately upon receipt of the rented Devices, the Customer is required to check the completeness of the entire delivery and the proper working conditions of the Devices.

1.2 In case a defect or malfunction is found, or the Customer is missing Devices or accessories in the shipping the Customer has to inform Cvent immediately by email or phone and report the defect. Reclamations at a later point of the rental period are not accepted. If the Customer fails to inform Cvent about any defect or missing Device/accessory it is considered that the Customer received the shipment in complete and proper condition.

1.3 The Customer is obliged to return the rental Device in the same condition as it was provided at the start of the rental.


2. RESPONSIBILITY, OWNERSHIP, AND USE
2.1 Responsibility for the Devices shall lie with the Customer for the duration of the rental period even in circumstances where Cvent has agreed for any reason to cease charging the Customer.

2.2 Ownership of the Devices remains at all times with Cvent. The Customer must not pass itself off as the owner of the Devices.

2.3 The Customer shall:
2.3.1 not remove any labels from and/or interfere with the Device and take reasonable care of the Devices, only use them for their proper purpose in a safe and correct manner in accordance with any operating and/or safety instructions supplied to the Customer.
2.3.2 notify Cvent within 24 hours after any breakdown, loss and/or damage to the Goods
2.3.3 take adequate and proper measures to protect the Device from theft, damage and/or other risks
2.3.4 not use the Device close to inflammable or dangerous goods, as well as toxic, corrosive, radioactive or other harmful substances
2.3.5 not connect any accessories other than provided from Cvent (unless prior authorization from Cvent)
2.3.6 keep the Devices at all times in its possession and control and not to remove the Devices from the delivered country without the prior written authorization from Cvent
2.3.7 permit Cvent at all reasonable times to inspect the rented Devices including procuring access to any premises where the Devices are situated
2.3.8 not intentionally commit any offense or conduct illegal activities or cause damage to and or with the rented Device

2.4 Any action the Customer takes upon the rented device is strictly at own risk. Cvent will not be liable for any losses and damages in connection with the use of our devices.


3. LOSS, DAMAGE, AND INSURANCE
3.1. The Customer is fully liable for any damages to Cvent when renting a Device upon receipt until it has been consigned to Cvent.

3.2 If Devices are returned in a damaged, unclean and/or defective state the Customer shall pay Cvent for the cost of any repair and/or cleaning required to return the Device to the condition it was delivered.

3.3 In the event that Devices are lost, stolen or damaged during the rental period the Customer shall fully compensate Cvent for replacement cost and/or the repair costs, administration charges and lost rental income for the time of repair or re-acquisition.

3.4 Cvent shall use its reasonable commercial endeavors to procure repairs or replacements for Devices as quickly as possible.

3.5 Cvent has not insured the rented Devices against Bodily Injury and/or Property Damage that you might cause on a third party resulting from an accident involving the Device. You are responsible for 100% of the costs they may incur for these reasons.
