  • Rentals are five days in length.
  • Begins on the scheduled day of arrival.
  • If the box arrives early, you will not be charged additional rental days.
  • Additional days requested will be automatically added to your shopping cart.
  • Late fees will be assessed unless an extended rental period has been requested and paid for.

The Regular Event in a Box is ideal for events with a maximum of 250** attendees. This box supports only black, dynamic printing and includes the following: 

  • 2 iPads w/ Tabletop stands
  • 1 Zebra GK420 Direct Thermal Desktop Printer
  • Cradlepoint Router including preset SIM card with 3GB data credit 
    • Note: Hardline internet connection recommended
  • Direct Thermal, Non-Adhesive Badge Stock. Choice between:
    • Single-Sided: 4" x 3" - 500 Badges
    • Double-Sided: 4" x 6" - 250 Badges (This badge is 4'' x 6'' with a perforation at every 3")
      • Note: If you are purchasing custom badge stock, please ensure you order direct thermal stock with a timing mark.
        • Please order ahead of time to allow for 3 to 4 weeks of production time for custom stock.

The Large Event in a Box is ideal for events with a maximum of 500** attendees. This box supports only black, dynamic printing and includes the following: 

  • 4 iPads w/ Tabletop stands
  • 2 Zebra Direct Thermal Desktop Printers
  • Cradlepoint Router including preset SIM card with 3GB data credit 
    • Note: Hardline internet connection recommended
    • Note: Mobile broadband not supported in Mexico
  • Direct Thermal, Non-Adhesive Badge Stock. Choice between:
    • Single-Sided: 4" x 3" - 1000 Badges
    • Double-Sided: 4" x 6" - 500 Badges (This badge is 4'' x 6'' with a perforation at every 3")
      • Note: If you are purchasing custom badge stock, please ensure you order direct thermal stock with a timing mark.
        • Please order ahead of time to allow for 3 to 4 weeks of production time for custom stock.

** Note: more equipment is recommended if registration occurs in a short window of time.  

OnArrival Premium License

Please be aware that you must have an OnArrival Premium license in order to print badges using OnArrival and Event in a Box. Don't have an OnArrival Premium license yet? Contact your Account Manager for details. 

Shipping and Geographic Availability

All orders received before 2:00 PM US Eastern, will be shipped on the same day. Any orders received after 2:00 PM, will be shipped on the following business day. 

This Event in a Box is only available in the United States. If your event is located in Europe, please select the "Europe- Event in a Box" option. If your event is located in Canada, please select the "Canada- Event in a Box" option. Event in a Box Rentals are not available in Mexico - please contact your Account Manager for more information. 

Each box contains a return shipping label. Customer is expected to ship the box with the return label on the last day of their event or additional late fees will be charged.

Broadband Connectivity and Networking Requirements

If you plan to use your Event in a Box's embedded SIM card for network connectivity, then ensure your registration area is not located in the lower level of your venue (i.e. basement level), to ensure optimal signal. Otherwise, you may experience issues connecting your devices to the network.

If you choose to forego the included data plan, please make arrangements with your venue to have a hardwired Ethernet line with the below requirements:

  • Dedicated, wired DHCP internet line (Ethernet) of 3Mbps and up that will support an AER-1600 router.
  • If DHCP can’t be supported you will need the equivalent number of STATIC PUBLIC IP addresses (each printer, iPad and Router needs its own IP address).
  • Splash screens and time-outs must be disabled on any wired or wireless network.

Note: rentals made within five (5) days of their requested delivery date are not eligible for standard on-boarding / support.
